Position Description:

The Household Moving Administrative Assistant reports directly to the Department Manager. The position entails all aspects that are associated with household or a business move. The Household Goods Administrative Assistant is responsible for providing excellent customer service to an international client base and performs administrative duties such as data entry input for import/export documentation and prepares all necessary documents for export shipments and claims settlement.

 

Responsibilities/Essential Functions:

  • Must be able to accurately prepare and process documentation including packing lists, bill of lading, and commercial invoice preparation, etc.
  • Opens files, prepare and sets up necessary documentation; performs data entry, and creates invoices for export/import shipments.
  • Schedules bookings with shipping line and makes necessary arrangements for ocean export shipments
  • Schedules arrangements with air export department for air export shipments
  • Prepares documentation, contacts customer(s), and insurance company to settle any claims for damages incurred
  • Handle phone call communications
  • Maintains account receivables and account payables
  • Handles payment processing for vendors’ invoices
  • Provide exceptional customer service to customers with excellent verbal and written communication skills
  • Able to multi-task and work in both office and warehouse environments
  • Ability to work overtime, as needed
  • May perform other tasks, as assigned by management

Experience and Skills:

Qualifications:

  • High school diploma or equivalent
  • Possess excellent customer service skills interacting with Japanese-speaking clients
  • Possess effective verbal and written communication skills
  • Bi-lingual (English/Japanese) skills, native fluency in Japanese (reading, writing, speaking), required
  • Computer proficiency (Microsoft - Office suite package), required
  • Able to lift 20# unassisted
